For what purpose does Alumni Global Search S.L. process the personal data of users?

In Alumni Global Search S.L. we treat your personal data with the utmost respect and compliance with the applicable regulations on personal data protection.

We process your data for the following purposes:

- With respect to registered candidates, we process their personal data to manage their registration in beWanted and, accordingly, the functionalities that are enabled for them; manage their participation in personnel selection processes created by the companies registered in beWanted and assess their employability or JobRank (beWanted's candidate ranking system based on a proprietary algorithm that weights the resumes according to the quality and quantity of information the candidate provides when registering in the platform and evaluates their employability).

Also, if you authorize it by checking the box provided for that purpose next to the registration form, we will use your personal data to send you information of interest related to beWanted and recruitment processes that fit your profile. You may withdraw this consent at any time, for which, in each communication we send you will have the possibility to unsubscribe from such communications.

- With respect to registered companies, we process their personal data to manage their registration in beWanted and the functionalities associated with it, to allow the creation and management of personnel selection processes and, if they authorize it by checking the box provided for that purpose next to the registration form, we will use their personal data to send them information of interest related to beWanted. You may withdraw this consent at any time, for which, in each communication we send you will have the possibility to unsubscribe from such communications.

In this sense, we inform you that in order to manage in a more efficient, dynamic and operative way and to be able to keep a better control of the communications that we send to both candidates and registered companies, we use Sendgrid, a platform developed by Twilio Inc. The use of this platform implies the installation by the provider of the mentioned service in such mailings of tracking devices of the activity of the recipients, in order to control the opening of the mailings and the clicking of the links contained in the mailings, and to be able to elaborate with the information collected campaign tracking reports.

- Manage the queries and requests made to us by the interested parties and the issues arising from them on behalf of the company.

We inform you that we will only process your personal data for the aforementioned purposes and that under no circumstances will automated decisions be made on the basis of your profile.

How long will we keep your personal data?

With respect to candidates and registered companies, we will process their personal data until such time as they decide to unsubscribe, which they can do in their private area. Thereafter, we will retain your personal data only for the time necessary to comply with legal obligations.

Regarding the queries and requests we receive through the form provided for this purpose, we will process personal data for as long as it is necessary to resolve and respond to them and, once resolved, for the time necessary to comply with legal requirements.

In other cases, we will process your data for the time necessary to process your request and/or service.

What is the legitimacy to carry out the processing of users' personal data?

In relation to candidates and registered companies, the legal basis that legitimizes the processing of their personal data is its necessity for the performance of a contract to which the data subject is a party (managing the registration and the issues arising from it).

Regarding the processing of your personal data for sending information of interest related to beWanted and recruitment processes, the legal basis that legitimizes such treatment is the consent provided by checking the box provided for this purpose next to the registration form. You may withdraw this consent at any time, for which, in each communication we send you will have the possibility to unsubscribe from such communications.

Regarding the queries and requests that are made through the form provided for this purpose, the legal basis that legitimizes the processing of personal data is the need for the execution of the legal relationship that arises when filling out the form and send the query or request. That is, it is necessary to manage the queries or requests made.

What obligations does Alumni Global Search S.L. fulfill with respect to the personal data it processes?

Alumni Global Search S.L. complies with each and every one of the principles required by both the General Data Protection Regulation and the LOPDGDD. Below, we include a brief summary of all of them to understand exactly what it entails. However, we will be happy to clarify any questions you may have in this regard in the mail

In this sense, the General Data Protection Regulation and the LOPDGDD establish a series of principles -that is, obligations for Alumni Global Search S.L. and all its personnel- that Alumni Global Search S.L. will take into account during all phases, treatments and actions to which it submits the personal data for which it is responsible.

These principles are regulated in Articles 5 and 6 of the General Data Protection Regulation and are:  

- Principle of lawfulness, loyalty and transparency that implies, as its own name indicates, that Alumni Global Search S.L. shall only be entitled to process data in a "lawful, loyal and transparent manner in relation to the data subject".

- Purpose limitation principle. This principle requires that Alumni Global Search S.L. will only process data collected for "specified, explicit and legitimate purposes". This principle also implies that Alumni Global Search S.L. may not further process such data "in a manner incompatible with those purposes".

The prohibition of processing for incompatible purposes, as provided for by Article 89.1 of the General Data Protection Regulation, does not apply to the processing of such data for "archiving in the public interest, scientific and historical research purposes or statistical purposes".

- Principle of data minimization. This obligation implies the duty of Alumni Global Search S.L., as data controller and all staff working for Alumni Global Search S.L. to process only data that are "adequate, relevant and limited to what is necessary in relation to the purposes for which they are processed".

- Principle of accuracy. This principle is specified in the need for Alumni Global Search S.L. to process personal data that is accurate and, therefore, up to date. In this regard, the General Data Protection Regulation requires Alumni Global Search S.L., as the controller, to take "all reasonable steps to ensure that personal data which are inaccurate in relation to the purposes for which they are processed are erased or rectified without delay". Therefore, in case you have changed any personal data with respect to those you provided us when we started the relationship, please let us know as soon as possible for the purpose of processing personal data only that are updated and up to date.

The principle of accuracy requires - and Alumni Global Search S.L. will do so. - that Alumni Global Search S.L., from time to time, take steps to verify - as far as possible and making reasonable efforts - that the personal data it processes is accurate and up to date.

- Principle of limitation of the storage period. This principle requires that Alumni Global Search S.L. only retains the personal data it processes - in a manner that allows the identification of the data subjects - for no longer than is necessary for the purposes of the processing of the personal data.

The General Data Protection Regulation allows personal data to be retained for longer periods "provided that they are processed exclusively for archiving purposes in the public interest, scientific or historical research purposes or statistical purposes", in accordance with Article 89(1), without prejudice to the application of appropriate technical and organizational measures imposed by the General Data Protection Regulation in order to protect the rights and freedoms of the data subject.

- Principle of integrity and confidentiality. This obligation implies the adoption by Alumni Global Search S.L. of all measures - technical, organizational or otherwise - that are necessary to ensure "adequate security of personal data, including protection against unauthorized or unlawful processing and against accidental loss, destruction or damage.

- Accountability Principle. This principle is one of the new obligations incorporated by the General Data Protection Regulation and it implies a change of attitude and mentality, as far as personal data protection and security are concerned, on the part of Alumni Global Search S.L. and, therefore, of all its staff.

The fulfillment, in practice, of this duty of Accountability (also known as active responsibility or accountability) implies that Alumni Global Search S.L. and all its staff, have an active and preventive -and not reactive- attitude towards possible risks, threats and/or inadequate treatment of personal data from the beginning in all phases of the treatment.

Therefore, all Alumni Global Search S.L. staff is aware of the importance of this principle of Accountability that involves the adoption of preventive measures, attitudes and proactive actions and for the benefit, at all times, of the maximum respect for the fundamental right to the protection of personal data of the owner.

This principle of Accountability involves extensive documentary work that allows traceability of all actions that have been taken to comply with this active responsibility by all Alumni Global Search S.L. staff.

- Principle of lawfulness of processing. The General Data Protection Regulation requires, as it could not be otherwise, that any processing of personal data carried out must be lawful and, in this sense, includes six legal bases that make the processing of personal data lawful.

These six bases are regulated in Article 6 of the General Data Protection Regulation and are made up of the following factual assumptions:

a) the data subject consented to the processing of his or her personal data for one or more specific purposes;

b) the processing is necessary for the performance of a contract to which the data subject is a party or for the implementation of pre-contractual measures at the request of the data subject;

c) the processing is necessary for compliance with a legal obligation applicable to the controller;

d) the processing is necessary to protect the vital interests of the data subject or of another natural person;

e) the processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller;

(f) processing is necessary for the purposes of the legitimate interests pursued by the controller or by a third party, provided that such interests are not overridden by the interests or fundamental rights and freedoms of the data subject which require the protection of personal data, in particular where the data subject is a child.

To which recipients will the users' personal data be communicated?

In accordance with the main purpose of beWanted candidate registration, we will communicate your personal data contained in your profile to beWanted registered companies interested in your profile.

In accordance with the main purpose of beWanted registration, we will communicate the personal data of registered companies to beWanted-registered candidates interested in their offers.

In other cases, we will only disclose the personal data of users if we are required to do so by law.

On the other hand, as mentioned above, beWanted informs that in order to manage in a more efficient, dynamic and operative way and to be able to keep a better control of the communications we send, we use Sendgrid, a platform developed by Twilio Inc. a company that acts as a data processor and that, despite being outside the European Economic Area, the international transfer of data involved in its use has the appropriate guarantees provided for in Article 46.2 c) of the General Data Protection Regulation (standard contractual clauses adopted by the European Commission).

We also inform that Alumni Global Search S.L. works with several entities that provide a service that requires access to personal data, being, therefore, these entities in charge of the processing of Alumni Global Search S.L., with whom we have signed the corresponding data processing contract in accordance with the provisions of Article 28.3 of the General Data Protection Regulation.

What security measures has Alumni Global Search S.L. adopted to protect your data?

From Alumni Global Search S.L. we take all measures in our power to ensure the security and confidentiality of all personal data we process. These measures are both physical and logical, technical and organizational and necessary depending on the data we process. Of course, the measures are adopted with the aim of guaranteeing the security, confidentiality and integrity of all personal data that we process in order to avoid its alteration, loss, processing and/or unauthorized access, taking into account the state of technology, the nature of the data stored and the risks to which they are exposed, whether from human action or from the physical or natural environment.

Likewise, Alumni Global Search S.L. has an updated Security Document (following the recommendations of the Spanish Data Protection Agency) on its conservation and adaptation to the requirements of the RGPD and the LOPDGDD.

Among the security measures (by way of summary) that we adopt are: constant training of all our employees, use of secure passwords and frequent change of them, backup copies, encryption of personal data, access control to personal data according to needs, security audit, hiring of data processors that offer the necessary security and strict compliance with data protection regulations, physical security measures for access control (keys, padlocks, etc.), paper shredder, use of official programs that guarantee security in the processing of personal data and, of course, all those offered by technique and technology and that are consistent with the risks identified for the processing of personal data and that are consistent with the risks identified for the risks identified for the processing of personal data.), paper shredder, use of official programs that guarantee security in the processing of personal data and, of course, all those offered by the technique and technology and that are consistent with the risks identified for the processing of personal data carried out by Alumni Global Search SL.

What rights do users have as data subjects?

You, as the owner of the personal data, either on your own behalf or through a representative - legal or voluntary - may exercise your rights of access, rectification, limitation of processing, deletion, opposition as well as the right to data portability.

To exercise them, you should contact us by e-mail at dpo@bewanted.com, indicating in the Subject "Data Protection Rights" or, if you prefer, by post to Alumni Global Search S.L. at calle Castelló, nº 82-6º Izq. - C.P. 28006 Madrid, specifying which right you wish to exercise. We may request a copy of your ID card in case it is necessary to prove your identity.

Within a maximum period of 30 days -with all our efforts and the means at our disposal to reduce this period as much as possible-, from the moment we receive your request, you will receive a response from us. If you are not satisfied, you may go to the Spanish Data Protection Agency to request the protection of your rights.

How did we obtain your personal information?

The personal data that we process in Alumni Global Search S.L. have been collected from any of the different forms that you send us or through the email address provided to contact us. The personal data requested are those necessary for the purposes indicated, being mandatory to provide them in such a way that, in case of not doing so, we will not be able to comply with them.
